Objectives

  • To carry out all aspects of sales administration, as well as other general office duties
  • To ensure that all Company policies and procedures applicable to your area of responsibility are adhered to at all times

Reports to:

  • Sales Administrator will report to the Sales Support Manager

Key Responsibilities

  • Completion of all administrative tasks required to complete a vehicle order from point of order to delivery
  • Process sales deal sheets/orders in a timely and accurate manner from receipt, arranging of PDI, sub-contractor work (including issuing a Purchase Order numbers) then vehicle valet
  • Sourcing vehicles as required, carrying out any dealer searches and subsequent transfers necessary to fulfill the order.
  • Work with Sales Progress Co-ordinator to book any vehicle movements including final customer deliveries, body builder or transfer collections
  • Regular and structured communication with Sales Executives in respect of order progress
  • Chase up suppliers where necessary for progress updates
  • Ordering of vehicles via Mercedes Benz factory ordering system
  • Processing of financial support claims from Mercedes Benz within the time frames imposed
  • Raising of Sales invoices as required
  • Processing of part exchanges – including HPI checks, settlements and VAT invoices
  • Organisation of delivery or handover working with the Business Manager to ensure all financial commitments have been met
  • Maintenance of Databases - ensuring all the required information is loaded on to both the CDK, Cesar and iStore Docs accurately and within the time frames specified. Ensuring that the database reflects at all times the locations of vehicles under your control.
  • Accurate projected registration dates of vehicle under your control – hold regular updates with Sales Executives to ensure accuracy
  • Completing of taxing, using either the AFRL system or DVLA V55 paperwork
  • Checking that all deal files are completed on iStores and ready to close after month end
  • Ordering and control of dealer stock vehicles – factory ordering to specification required, control of vehicle through stock files on iStores
